Payment Terms & Conditions Policy

1. General Payment Policy
Ashtec Surgical operates primarily on a 100% advance payment basis. Unless otherwise agreed in writing, the full invoice amount must be received and verified before production, order processing, or dispatch of goods.
Payment terms may vary only where Ashtec Surgical has specifically approved an alternative payment arrangement in writing.
2. International Customers
2.1 Standard International Payment Term – 100% Advance
For all international customers, the standard payment requirement is:
100% Advance Payment Before Order Processing / Dispatch
The customer must pay 100% of the total invoice value in advance.
Order processing or production will commence after payment has been received and verified.
Goods will be dispatched only after the applicable payment has been received in full.
Shipping and courier tracking details will be provided after dispatch.
2.2 Exceptional Payment Term – 50% Advance + 50% Before Dispatch
Ashtec Surgical may, at its discretion, offer an exceptional payment arrangement to approved regular customers, established customers, or customers placing standing or repeat orders.
Under this arrangement:
50% Advance Payment + 50% Balance Payment Before Dispatch
The procedure will be:
A 50% advance payment is required when the order is confirmed.
Ashtec Surgical will process or prepare the order after receiving the 50% advance.
The remaining 50% balance must be paid before the shipment is released to the courier.
Once the balance payment has been received and verified, the order will be dispatched.
The DHL or applicable courier tracking number will then be shared with the customer.
Important Conditions for the 50% + 50% Facility
The 50% + 50% facility is an exceptional payment arrangement and does not constitute a standard credit facility.
Ashtec Surgical reserves the right to approve, refuse, modify, suspend, or withdraw this facility at any time based on the customer’s payment history, order history, relationship with Ashtec Surgical, order value, or other commercial considerations.
3. Pakistan Domestic Customers
3.1 Standard Payment Term – 100% Advance
The standard payment term for customers within Pakistan is:
100% Advance Payment
Customers are required to make full payment before their order is processed and dispatched, unless Cash on Delivery (COD) has been specifically approved.
3.2 Cash on Delivery (COD)
Ashtec Surgical may offer Cash on Delivery (COD) for eligible domestic orders, subject to the following conditions:
COD is available for orders with an invoice value of up to USD 200.
COD availability may depend on the courier service, delivery location, product type, and other applicable conditions.
The customer must provide complete and accurate delivery information.
Any applicable courier or COD charges may be payable by the customer.
3.3 Orders Above USD 200
For orders with an invoice value above USD 200, COD is not available under the standard payment policy.
Such orders require:

4. Payment Confirmation
An order will be considered confirmed only after the required payment has been received and verified by Ashtec Surgical.
A payment receipt, bank transfer screenshot, or transaction confirmation submitted by the customer does not by itself constitute payment confirmation.
The order will be processed only after the payment has been successfully verified by Ashtec Surgical.
5. Bank Charges & Transaction Fees
All bank charges, intermediary bank charges, payment gateway fees, transfer fees, or other transaction-related charges shall be borne by the customer unless otherwise agreed in writing.
Ashtec Surgical must receive the full net invoice amount.
If any charges are deducted during the transfer, the customer may be required to pay the difference before the order is processed or dispatched.
6. Currency
Unless otherwise agreed in writing, invoices may be issued in USD or another mutually agreed currency.
The customer is responsible for ensuring that the exact agreed invoice amount is received by Ashtec Surgical.
7. Production & Order Processing
For products that are:
Customized;
Specially manufactured;
Made according to customer specifications;
Produced in special sizes or quantities; or
Not normally held in stock,
Ashtec Surgical may require 100% advance payment, regardless of the customer’s previous payment arrangement or order value.
Production will normally commence after receipt and verification of the required advance payment.
8. Dispatch Policy
Ashtec Surgical will not release or dispatch an order until all applicable payment requirements have been fulfilled.
For approved 50% + 50% international orders, the remaining balance must be received before dispatch.
After the full applicable payment has been received and verified:
The goods will be prepared for shipment.
The shipment will be handed over to the agreed courier or shipping company.
DHL or other applicable courier tracking details will be shared with the customer after dispatch.
9. Shipping, Customs & Import Charges
Unless specifically stated in the quotation or invoice:
International shipping charges are payable by the customer.
Import duties and taxes are the responsibility of the customer.
Customs clearance charges are the responsibility of the customer.
Any destination-country government fees, customs charges, or other local charges are payable by the customer.
Ashtec Surgical is not responsible for delays caused by customs clearance, government authorities, courier companies, or circumstances beyond its reasonable control.
10. Payment Delays
Where a customer has been granted an approved 50% + 50% payment arrangement, Ashtec Surgical may hold the shipment until the outstanding balance has been received and verified.
Failure to pay the balance within the agreed period may result in:
Delayed dispatch;
Cancellation of the exceptional payment arrangement;
Requirement of 100% advance payment for future orders; or
Other commercially reasonable action by Ashtec Surgical.
11. Refunds & Cancellations
Any cancellation or refund request will be reviewed according to the circumstances of the order.
For customized, specially manufactured, or made-to-order products, advance payments may be non-refundable to the extent permitted by applicable law, particularly where production or procurement has already commenced.
Any approved refund will normally be processed after deduction of applicable bank charges, transaction fees, production costs, or other agreed expenses.
12. Customer Responsibility
The customer is responsible for providing:
Correct billing information;
Correct shipping address;
Correct contact details;
Correct product specifications;
Correct quantity and size requirements; and
Any documents or information required for shipment or import clearance.
Ashtec Surgical will not be responsible for additional costs resulting from incorrect or incomplete information provided by the customer.
13. Changes to Payment Terms
Ashtec Surgical reserves the right to review and change payment terms for individual customers or orders.
Any special payment arrangement must be approved by Ashtec Surgical in writing.
Verbal discussions or previous arrangements do not automatically establish a permanent credit or payment facility.
14. Final Payment Requirements

15. Acceptance of Terms
By placing an order with Ashtec Surgical, the customer confirms that they have read, understood, and accepted the applicable payment terms and conditions stated in the quotation, Proforma Invoice, Sales Invoice, or other official order documentation issued by Ashtec Surgical.
Ashtec Surgical reserves the right to amend these Payment Terms & Conditions when necessary.
The payment terms applicable to a particular order will be those confirmed in writing at the time of order acceptance.
